Exporting message history into a spreadsheet via a CSV file can help you track conversations, ensure safe exchanges and gain a better understanding of how the learners in your facility are communicating with their loved ones.
This blog will explain what a CSV file is, how to work with them, and how to export Messenger history straight from Insight into a simple and portable file format.
What is a CSV file?
A file with the .CSV file extension is a Comma Separated Values file.
All CSV files are plain text files, and can contain numbers and letters only, and structure the data contained within them in a tabular, or table, form. They’re very similar to Excel spreadsheets, but used for different purposes
.CSV files are usually used to exchange data, especially when there's a large amount, between different applications. Database programs, analytical software, and other applications that store massive amounts of information (like inmate data), will usually support the CSV format.
A Comma Separated Values file might sometimes be referred to as a Character Separated Values or Comma Delimited file, but regardless of how someone says it, they're talking about the same CSV format.
How do I open a CSV file?
Spreadsheet software is generally used to open and edit CSV files, such as Microsoft Excel. Spreadsheet tools are great for CSV files because the data contained is usually going to be filtered or manipulated in some way after opening.
After downloading the CSV file to your computer, simply double click it to open it. If it does not open in a program like Microsoft Excel or a text editor, you may need to open it directly from one of those programs or view it from a free editor, such as Google Drive.

How to export your facility’s message history
Log into your Insight account using your regular facility email and password.
From the main dashboard, click on “Investigate. This will take you to the Investigate dashboard.
If you want to see a specific user’s message history, enter a specific inmate ID in the “Add Inmate ID” field. You can also sort by time frame. Be sure to select messages so you’re only seeing Messenger data, not learning application answers.
View a conversation
You can also choose a sponsor to view the conversation between a learner and sponsor.
Click “Download CSV”
From either the view including all messages or from the conversation view, click on the grey button under the search area to download your CSV.
Download your spreadsheet
Once you click the button, you’ll be prompted to confirm your download. Select the “Download Messages” option, and your computer will start to download the .CSV document instantly.
